OnBoard Becomes the #1 Most Visible Brand in AI Answers for Board Management — and Turns That Visibility Into Qualified Pipeline
With Tyler Naples, Senior Search and Generative Engine Strategist at OnBoard
“What I appreciate most about working with Omniscient is that they never let us lose sight of the business outcome. It would've been easy to celebrate visibility numbers alone, but they kept us focused on what it meant for pipeline.”

OnBoard is a board management software and board portal used by boards and governance teams to run smarter, more effective meetings.
The board meeting solution partnered with Omniscient Digital to grow its organic channel and win the newest battleground in B2B software discovery: AI answers.
By mid-2026, OnBoard was the most visible brand in AI answers for board management, appearing in +88% of tracked prompts – ahead of every incumbent in the category.
Challenge: Winning the category conversation, not just the keyword
Board management software is a considered and high-trust purchase. Buyers build a shortlist of vendors through review sites, peer recommendations, and now by asking ChatGPT, Gemini, and Google’s AI surfaces.
The question OnBoard was asking wasn’t as simple as, “Can we rank?” It was: when a governance professional asks an LLM, “What’s the best board management software?”, whose name comes back and whose story does the LLM tell?
Board management is a mature category with well-known players. As AI consolidated answers around fewer brands, OnBoard’s mission was to be one of the names that LLMs trust and cite readily.
Approach: A system built for both search and answer engines
Content engineered for citation, refreshed for decay
Omniscient built and ran an organic growth program targeting the queries and prompts buyers use. The team prioritized updates for pages that drove the most conversions or were losing position fastest.
Looking at direct, organic, and LLM-driven sessions, the pages touched by Omniscient content are holding steady.
Authority where AI engines look
Alongside the content engine, Omniscient built a digital PR program to ensure off-page impact was as strong as on-page. The team focused on pages cited by LLMs when assembling category answers (review sites, industry publications, and community discussions) and helped OnBoard stand up a Reddit engagement program.
This is because Reddit threads are often treated by LLMs as genuine buyer opinion, and so can carry more weight than vendor sites or review platforms. Omni’s Reddit program built credibility there through authentic conversations rather than direct product promotion.
Placements that LLMs actually pull from
The digital PR targeting went a step further than rankings: in addition to domain authority and anchor relevance, placements were selected for their likelihood of being retrieved by LLMs.
For example, one homepage placement landed on an industry listicle that AI engines already cite—and ChatGPT cited that page twice after the OnBoard placement was secured.
A technical foundation for LLM accessibility
Content and digital PR don’t compound if crawlers can’t parse the site. Alongside their on- and off-page work, Omniscient also implemented technical improvements to improve LLM accessibility:
- Core Web Vitals and interstitial fixes to remove unnecessary scripts and page elements that were preventing LLMs from fully reading the content
- Schema and FAQ implementation across priority pages
- Cannibalization audit so OnBoard’s own pages weren’t competing with each other for the same queries
Measurement that ties visibility to pipeline
Rather than stopping at traffic, OnBoard’s growth program was instrumented end-to-end: prompt-level AI visibility tracked across six engines (ChatGPT, Gemini, AI Overviews, AI Mode, Claude, and Perplexity), GA4 conversions, and Salesforce-sourced meetings so every visibility gain could be traced to valuable pipeline.
In August, OnBoard appeared in 88% of category prompts, while LLM-referred sessions generated measurable conversions in GA4 and contributed to 100% month-over-month growth in booked meetings captured in Salesforce.
Results: Category-leading AI visibility that shows up in Salesforce
OnBoard has held the #1 AI visibility position in its category every month of 2026 so far, climbing from 73% in January to 88% in August. Over the same period, OnBoard’s average position in AI answers improved from 3.0 to 2.3, while every tracked competitor’s average position fell.
The visibility translated downstream: AI-referred sessions increased 58% MoM, while meetings booked from AI-referred traffic doubled – signaling that the brand is increasingly being recommended for high-intent prompts.

Key insights
- LLMs are consolidating categories toward the top two or three brands. The time to secure a leadership position is before the consolidation, not after.
- As more brands start showing up in AI answers, position becomes the real differentiator, not just visibility. Every tracked competitor’s average position worsened this year; only OnBoard’s improved.
- Conversion and pipeline metrics (not traffic or visibility) are the real scoreboard in AI search.
